Before · the trainer's notes

“Cancellation: 24 hours notice or the session is charged. I hate charging people, I've waived it way too many times and then I resent it, so the new rule is the rule… what I send new clients right now is honestly a mess of texts.”

After · the pack

The policies

Cancellation: 24 hours' notice, or the session is charged. This one is firm. If I cancel on you, your next session is free.

Your first session

Your first session is an assessment, not a test. Wear flat shoes if you have them. Bring water.

Questions for the trainer

Do packs pause for injury or travel, or is six months six months? One line either way.

Sample pack · an invented trainer, from the 517-word notes below

Three steps.

01

Send the brain-dump

Everything you already text new clients one at a time: where you train and how they check in, your rates and packs, the 24-hour rule you're finally done waiving, what the first session actually is, what to wear and eat, how rebooking works, the homework, the soreness talk, the nutrition boundary. However rough — the notes-app rant is exactly right.

02

We write the pack

A welcome letter that sounds like you. A first-session page a nervous client can read the night before. Policies in a human voice — firm where you're firm, fair where you named the flip side — with no apology spiral. Your intake questions framed as your own, next to the PAR-Q you already use. Nothing invented: no rate, rule or claim you didn't give.

03

Send it once

A Word file, a text file and a PDF proof within two days — the same words go in your booking app's welcome email, print for the clipboard, or go out as one text with a link. With them: a list of what we tidied or kept out and why, and your open questions, each a one-line change. One free round of changes within a week.

What you send, what you get.

What you send (an invented trainer's notes, the first part)
Ok so what I send new clients right now is honestly a mess of texts. Here's everything.

I'm Cole, Bennett Strength, I train out of Ironline Gym on Atwood Ave in Madison. I'm not staff there, I rent the floor, so clients check in at the desk and say they're with me, the desk knows. Parking behind the building is free for 2 hours, street is metered til 6.

Rates: $85 a session, or a 10-pack for $790 which is what most people do. Packs are good for 6 months. I do 55 minute sessions so I have 5 to reset. Payment is card on file through my booking app, I'll take Venmo if the card thing is being weird but I always forget to log it so honestly card please.

Cancellation: 24 hours notice or the session is charged. I hate charging people, I've waived it way too many times and then I resent it, so the new rule is the rule. If I cancel on you, you get the session free. Being more than 15 min late means we do whatever's left of the hour, it doesn't extend.

First session is not a workout workout. It's a movement assessment, we go through squat hinge push pull carry, I look at how you move, we talk about goals for real (not "get toned", like what do you actually want to be able to do), and you'll still sweat a little but nobody's dying. Wear flat shoes if you have them, no running shoes ideally. Bring water. Eat something normal 2 hours before, don't come fasted and don't come straight off a huge lunch.

Rebooking: I book week to week mostly, same slot each week is yours if you want it, …

Your first session

“Your first session is an assessment, not a test. We go through the basic movements — squat, hinge, push, pull, carry — and I watch how you move. We'll talk about your goals for real: not “get toned”, but what you actually want to be able to do. You'll sweat a little. Nobody's dying.”

What we tidied · questions for the trainer

Seven lines saying what was moved or written from your facts (nine texts became six pages, the cancellation rule said once with its fair flip side, card-please made the stated method) and six questions your notes left open, each a one-line change. No rate, rule or number is in the pack that you did not give. nothing invented

Client welcome packet templates sell for $4 to $55 a download: pretty pages, blank where the words go, and the words are still yours to write between clients. This is the words themselves — your rates, your rules, your first session, written and ordered once, so the week-three “wait, what’s your cancellation policy” conversation stops happening.

  • The welcome letter, in your voice
  • The first-session page: what it is, what to wear and eat, where the PAR-Q sits
  • How sessions work: length, booking, texting, the check-in rhythm
  • The policies said once, firmly: cancellation, late, payment, packages
  • The between-sessions page: homework, soreness, the nutrition boundary
  • Your intake questions · Word + text + PDF proof · one free round of changes

Send the brain-dump.

You get an order code now and a card payment link by email. The pack comes within two days after you pay: a Word file and a text file, a PDF proof, the list of what we tidied and your questions. One free round of changes within a week, so the rule you softened or the rate you forgot still goes in.

Three questions.

What exactly do I get?

One trainer's client welcome pack, within two days after payment, as a Word file you can edit, a text file and a PDF proof (Letter for the US and Canada, A4 for the UK and Australia): the welcome letter in your voice, the first-session page (what it is, what to wear and eat, where the PAR-Q sits), the how-sessions-work page (length, booking, texting, check-ins), the policies page (cancellation, late, reschedules, payment, package expiry — firm where you're firm, with the fair flip side you named), the between-sessions page (homework, soreness, the nutrition boundary) and your intake questions, framed as your own. The same words paste into your booking app's welcome email, print as a PDF, or go out as the one text with a link. With it: a list of what we tidied or kept out and why, and a numbered list of what your notes left open. One free round of changes within a week.

Will you invent a rule, a rate or a credential?

No. Every rate, rule, slot and number in the pack is one you gave; where your notes leave something open, the pack takes the plainest reading and lists it as a question for you. We never write you a stricter policy than the one you stated, never add a service or credential you didn't name, and never pad the pack to look longer. Your intake questions are framed as your questions — the PAR-Q or any health-screening form you use stays your own form.

Is this medical or fitness advice? Do you write programs?

No. This is your onboarding words, written and ordered — not medical, fitness or nutrition advice, and no training program or exercise prescription is written. Where your notes touch health screening, the pack points to your existing form rather than replacing it. One trainer per order; a second brand or studio is a second order, and we say so before you pay.
